Operator > Boat Owner Charter Agreements

Streamlining relationships between vessel owners and operators -- this is HubLink's most important top-level goal. HubLink's charter agreements feature is, perhaps, the central expression of this.

HubLink offers two types of charter agreement workflows. Below, you'll find instructions for operator-initiated agreements. In this article, you'll find instructions for boat owner-initiated agreements.

As we outline below, this feature helps operators quickly find relevant vessels, allows them to send rate proposals to owners, and helps both parties finalize charter offers via electronic signature.

Chartering a vessel with HubLink involves just a handful of steps.

 

Operator Steps

Step 1

Operators find vessels that meet their needs using the "Find a Boat" screen. In this scenario, Ollie Ops wants to rent a 122" AH Tug from Q Boats. After identifying the SS HubLink on the "Find a Boat" screen, the user clicks "Hire" to start the charter process.

 

Step 2

Next, the operator fills out the charter offer screen.

Step 3

After the operator clicks "Sign and Send," the user will see the following screen:

As the message indicates, HubLink uses DocuSign to manage electronic signatures. DocuSign is a free service, and you don't need to have an account to sign or access HubLink charter agreements. If you already have an account, you can use it to manage your HubLink charter agreements.

 

Step 4

The operator should now check his or her email inbox. There, the user will see an email with the subject line: "DocuSign API - Signature Request on Document Call." Once the user opens this email, s/he will see the following in the body of the email:

Click "Review Document" to begin the signature process.

 

Step 5

Follow the DocuSign instructions to complete the signature process. During this process, you'll be able to create a free DocuSign account if you wish. Once you've completed the DocuSign process, return to HubLink and click "I have signed the document." (See the screen in step three.) This will send the agreement to the boat owner for his/her signature.

In the interim, you can see the draft agreement on both your "Notifications" and "Agreements" screens.

Click "View Details" to review the document inside HubLink.

Boat Owner Steps

Step 6

After the operator signs the document, the boat owner will receive a push notification that the charter offer is ready for review.

The boat owner should visit his/her "Notifications" screen to accept, decline, or counteroffer the agreement. In this scenario, we'll assume Q Boats wants to accept the charter offer without any changes. To do so, the user will click "Accept" on his/her "Notifications" screen.

Step 7

After the boat owner clicks "Accept," the user will see the following screen:

The boat owner should now check his or her email inbox. There, the user will see an email with the subject line: "DocuSign API - Signature Request on Document Call." Once the user opens this email, s/he will see the following in the body of the email:

Click "Review Document" to begin the signature process.

 

Step 8

Follow the DocuSign instructions to complete the signature process. Once you've completed the DocuSign process, return to HubLink and click "I have signed the document." (See the screen in step seven.) This will complete the agreement process. Both boat owners and operators will have access to the finalized agreement on their "Notifications" and "Agreements" screens (and in their email inboxes).

Please note, to avoid scheduling conflicts and to give boat owners greater control over charter details, HubLink requires boat owners update a vessel's status even after accepting a charter offer. We outline the process of doing so here.
